Who We Are and What This Covers

The Woman School Institute ("we," "us," or "our") is a program of Wholeness Education, LLC, a Florida limited liability company with a principal address at 6070 National Blvd, Unit 223, Ave Maria, FL 34142, United States. Wholeness Education, LLC is the controller of the personal information described in this policy.

This policy applies to womanschoolinstitute.com, our enrollment and application forms, our student portal and course platforms, our email and text communications, and our Formation Circles and community spaces.

It does not apply to third-party websites we link to, or to a Sponsoring Institution's own handling of your information.

Information You Give Us

We collect what you provide directly, including:

• Identity and contact information. Name, email address, mailing address, phone number, and country or region.
• Enrollment information. Program selected, Formation Circle preference, term, time zone, and any Sponsoring Institution, parish, or campus affiliation.
• Application and intake responses. Answers to questions on inquiry, application, discovery call, or assessment forms.
• Account information. Username, password, and profile details you add to a student portal or community space.
• Payment information. Billing name and address, and the last four digits and expiration of your card. See Section 09.
• Coursework and reflections. Written responses, worksheets, assessment results, journaling, and questions submitted to faculty or a Guide.
• Community content. Posts, comments, messages, and files you share in a community platform.
• Correspondence. Emails, text messages, support requests, survey responses, and testimonials.
• Event and media participation. Registration details and, where you take part in a recorded session, your image, voice, and contributions.

Information Collected Automatically

When you visit our website or use our platforms, we and our providers may collect:

• IP address, general location inferred from it, browser type, device type, and operating system.
• Pages visited, referring page, links clicked, time on page, and session duration.
• Course progress data such as lessons opened, videos watched, materials downloaded, and completion status.
• Email engagement such as opens, clicks, and bounces.
• Cookie and pixel identifiers. See Section 05.

Information From Other Sources

• Sponsoring Institutions. A parish, campus, diocese, or employer may provide your name, email, and enrollment eligibility when it sponsors your seat.
• Referrers. A Guide, Ambassador, or another student may submit your contact details when referring you, with your knowledge.
• Advertising and social platforms. Aggregated campaign and audience data where you have engaged with our advertising.
• Payment processors. Confirmation of payment, failure, or dispute.

Cookies and Tracking

We use cookies and similar technologies for four purposes:

• Strictly necessary. Session management, login, security, and fraud prevention. These cannot be turned off.
• Functional. Remembering preferences such as language, time zone, and form progress.
• Analytics. Understanding how the site is used so we can improve it.
• Advertising. Measuring campaign performance and showing relevant advertising on other platforms, where enabled.

You can manage cookies through your browser settings and, where we display a cookie banner, through your consent choices there. Blocking strictly necessary cookies may prevent parts of the site and the student portal from working.

Some browsers send a Global Privacy Control or Do Not Track signal. We honor Global Privacy Control signals where required by law as a request to opt out of the sale or sharing of personal information.

How We Use Information

• To process enrollment, assign Formation Circles, and deliver curriculum and Institute services.
• To process tuition payments, manage payment plans, and collect outstanding balances.
• To communicate about your schedule, access, account, and program changes.
• To provide support, answer questions, and respond to requests.
• To personalize your experience and track your progress through the curriculum.
• To improve our curriculum, website, and programs, including through aggregated analysis and survey feedback.
• To send marketing communications where you have opted in, and to measure their performance.
• To maintain the safety and integrity of our programs and enforce our Terms and Conditions.
• To meet legal, tax, accounting, and regulatory obligations, and to establish, exercise, or defend legal claims.

We do not sell your personal information for money. We may share limited identifiers with advertising platforms for campaign measurement, which some state laws treat as "sharing" or "targeted advertising." See Section 15 for how to opt out.

Legal Bases for Processing

Where the GDPR or UK GDPR applies, we rely on:

• Contract. To enroll you, deliver your program, and process tuition.
• Legitimate interests. To improve our programs, secure our platforms, prevent fraud, and communicate with existing students, balanced against your rights.
• Consent. For marketing email, text messages, non-essential cookies, and use of testimonials. You may withdraw consent at any time.
• Legal obligation. For tax, accounting, and record-keeping requirements.

How We Share Information

We do not sell, rent, or trade your personal information, and we do not share it with third parties for their own marketing or promotional purposes.

We share personal information with service providers who process it on our behalf under contract, and only for the purposes described here.

Faculty, Guides, and Ambassadors

Your Guide and assigned faculty see your name, contact details, attendance, and the coursework you submit to them, so they can teach and support you. They are bound by confidentiality obligations.

Sponsoring Institutions

Where a parish, campus, or organization sponsors your enrollment, we may share your enrollment status, attendance, and completion for program administration and invoicing. We do not share the content of your reflections, coursework, or Formation Circle disclosures with a Sponsoring Institution.

Legal and business transfers

We may disclose information where required by law, subpoena, or court order, where necessary to protect the rights, safety, or property of the Institute or any person, or in connection with a merger, acquisition, financing, or sale of assets, in which case this policy will continue to apply until superseded by notice.

Payment Information

Tuition payments are processed by a third-party payment processor. Your full card number, security code, and bank credentials are transmitted directly to that processor and are not received or stored on our systems.

We retain a payment token, the last four digits of the card, expiration date, billing name and address, and a record of the transaction, so we can process scheduled installments, issue refunds, and meet our tax and accounting obligations.

Formation Circles and Sensitive Information

Our curriculum touches on personal history, relationships, faith, and family. You may choose to disclose information that privacy laws treat as sensitive, such as religious beliefs, health information, or details about your family. We do not require you to disclose any of it, and we do not use it to make decisions about you beyond delivering your program.

Where a program is delivered in a Catholic or faith-based context, your participation may itself indicate a religious affiliation. Where required by law, we process that information only with your consent.

We are not a covered entity under HIPAA and our programs are not medical or mental health services. Information you share with us is not protected health information.

Confidentiality has limits. We may disclose information where we reasonably believe it is necessary to prevent imminent harm to you or another person, or where disclosure is required by law, including mandatory reporting of abuse or neglect.

Email and Text Messages

Email

Transactional messages about your enrollment, payments, schedule, and access are part of delivering your program, and you cannot unsubscribe from these while enrolled. Marketing email is sent only where you have opted in, and every marketing email carries an unsubscribe link that takes effect promptly.

Text message program

If you voluntarily provide your mobile number and expressly opt in through one of our website forms, enrollment forms, or other registration forms, you agree to receive SMS messages from The Woman School Institute related to your inquiry, application, enrollment, classes, student support, account notifications, appointments, and occasional program updates.

Consent

• SMS messages are sent only after you provide express consent.
• We maintain timestamped records of all SMS opt-ins and opt-outs.
• Consent is not required as a condition of purchasing or enrolling in any program.
• Our messaging practices comply with the Telephone Consumer Protection Act (TCPA) and applicable messaging regulations.

Frequency, charges, opt-out, and help

Message frequency varies depending on your interactions with us and your enrollment status. Message and data rates may apply according to your wireless carrier plan.

Reply STOP to any message to unsubscribe. You will receive one confirmation message, after which no additional SMS messages will be sent unless you opt in again. Reply HELP, or email [email protected]. Institute support is provided by email. We do not offer telephone support.

Carrier information

Wireless carriers are not liable for delayed or undelivered messages. Supported carriers include most major U.S. wireless providers.

Mobile information and SMS consent

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes.

Information sharing with subcontractors or service providers is permitted only for the purpose of supporting services such as customer service, payment processing, website hosting, CRM systems, and SMS message delivery.

All other categories exclude text messaging originator opt-in data and consent. This information will never be shared with any third parties for marketing purposes.

SMS providers and message aggregators receive only the information necessary to deliver text messages you have requested. These providers are contractually required to protect your information and may not use it for marketing purposes.

Data Retention

We keep personal information for as long as needed for the purpose it was collected, then delete or anonymize it. In general:

• Student and enrollment records are retained for the duration of enrollment and for seven (7) years afterward, to support completion verification, alumni access, and legal or tax requirements.
• Financial and tax records are retained for at least seven (7) years as required by law.
• Coursework and reflections are retained for the duration of your program term and any stated post-term access window, and are deleted on request afterward.
• SMS and email consent records, including timestamped opt-ins and opt-outs, are retained for as long as needed to document compliance with messaging regulations.
• Marketing contact records are retained until you unsubscribe or ask us to delete them, and we keep a suppression record so we do not contact you again.
• Website analytics data is retained in line with the settings of the analytics platform we use.

Security

We use administrative, technical, and physical safeguards designed to protect personal information, including encryption in transit, access controls limiting staff access to what their role requires, and vetted service providers with their own security programs.

No method of transmission or storage is completely secure. We cannot guarantee absolute security. Keep your account credentials private and tell us promptly if you believe your account has been compromised.

Your Choices

• Update your information. Correct your details in your student account or by writing to us.
• Unsubscribe from marketing. Use the link in any marketing email, or reply STOP to any text.
• Manage cookies. Use your browser settings or our cookie banner where displayed.
• Withdraw a testimonial. Ask us in writing and we will stop using it in future materials.
• Close your account. Ask us to close your account and delete information we are not required to keep. Note that closing an account does not cancel a tuition obligation.

United States State Privacy Rights

If you live in California, Colorado, Connecticut, Delaware, Florida, Iowa, Montana, Nebraska, New Hampshire, New Jersey, Oregon, Texas, Utah, Virginia, or another state with a comprehensive privacy law, you may have the right to:

• Know what personal information we collect, use, disclose, and retain.
• Access a copy of your personal information in a portable format.
• Correct inaccurate personal information.
• Delete personal information, subject to legal exceptions.
• Opt out of targeted advertising, the sale of personal information, and profiling that produces legal or similarly significant effects.
• Limit the use of sensitive personal information.
• Not be discriminated against for exercising these rights.
• Appeal a decision we make on your request.

To exercise any of these, write to [email protected] with the subject line "Privacy Request." We will verify your identity, usually by confirming details we already hold, and respond within the time your state's law allows. An authorized agent may submit a request on your behalf with written authorization.

If we decline a request, you may appeal by replying to our decision. If your appeal is denied, you may contact your state attorney general.

We do not sell personal information for money and we do not knowingly sell or share the personal information of anyone under sixteen (16).

Rights Under GDPR and UK GDPR

If you are in the European Economic Area, the United Kingdom, or Switzerland, you have the right to access, rectify, erase, restrict, and port your personal information, to object to processing based on legitimate interests or direct marketing, and to withdraw consent at any time without affecting processing already carried out.

Write to [email protected] to exercise these rights. You also have the right to lodge a complaint with your national supervisory authority, or with the Information Commissioner's Office in the United Kingdom.

International Transfers

We operate from the United States, and our service providers are primarily located there. If you access our programs from outside the United States, your information will be transferred to and processed in the United States, where privacy laws may differ from those in your country.

Where required, we rely on Standard Contractual Clauses or another approved transfer mechanism with our providers. By enrolling, you understand that your information will be processed in the United States.

Children's Privacy

Our website and adult programs are intended for women eighteen (18) and older. We do not knowingly collect personal information from children under thirteen (13).

Programs designed for participants under eighteen are offered only through a Sponsoring Institution or with the enrollment and consent of a parent or legal guardian, who may review, request deletion of, or refuse further collection of their child's information by writing to us.

If you believe a child under thirteen has given us information, contact us and we will delete it.

Third-Party Websites

Our website and curriculum may link to third-party sites, books, and resources. We do not control those sites and are not responsible for their privacy practices. Read their policies before providing information to them.

Changes to This Policy

We may update this policy as our programs and obligations change. The current version is always posted here with its effective date. If we make a material change to how we use your information, we will notify enrolled students by email or through the student portal.
